We are pleased to announce a job opening for a Senior Accounts Clerk at Life Fourways Hospital. This role reports directly to the Finance & Administration Manager. The ideal candidate will play a crucial role in managing and recording financial data, ensuring smooth operations within the financial accounting department of our hospital. Key Responsibilities

1. Month-End Processes:

  • Take charge of month-end procedures, ensuring that all data is accurately captured and entered into our systems.
  • Prepare, manage, and enter requisitions, orders, and payments using the SAP system.

2. Procurement and Creditor Management:

  • Facilitate the entire procurement cycle, ensuring that purchases are made efficiently and in compliance with hospital policies.
  • Manage the creditors assigned to you, handling daily reconciliations and processing. You will be the main point of contact for queries related to creditors, liaising with hospital staff as needed.

3. Financial Record Management:

  • Assist with coding and allocation of payments and receipts in the cashbook, ensuring accuracy and timeliness.
  • Support the Finance & Administration Manager with various tasks and projects as needed.

4. Account Reconciliation:

  • Work with the accounting hub to clear bank and debtors reconciliation items, ensuring all discrepancies are resolved promptly.
  • Handle queries related to creditor and debtor accounts, maintaining open communication to resolve any issues.

5. Filing and Documentation:

  • Maintain an organized filing system for all creditor-related documents, ensuring easy access and compliance with internal protocols.
  • Regularly update and manage the contracts register to keep track of all agreements.

6. Internal Controls and Reporting:

  • Assist in the review and establishment of strong internal controls to protect financial assets and ensure compliance with policies.
  • Manage the accounts receivable subsystem, which includes monitoring doctor rentals and ad hoc charges.
  • Prepare accurate accruals at the end of each month, ensuring all financial reports are complete and accurate.

7. Administrative Duties:

  • Perform general administrative tasks such as filing documents and taking meeting minutes.
  • Coordinate with the national credit control department concerning daily banking activities and bank transfer payments.

8. Cash Management:

  • Handle petty cash transactions, ensuring accurate tracking and reporting.
  • Perform monthly reconciliations on creditor accounts and daily banking operations, maintaining a clear record of all transactions.

9. Team Collaboration:

  • Work closely with the nursing management team to reconcile nursing agency accounts daily, ensuring financial accuracy.
  • Strive to create a positive and effective internal control environment while meeting month-end deadlines.

Requirements

  • Education: A minimum of Grade 12 is required.
  • Qualification: A relevant degree or diploma in finance or accounting is essential, along with at least 2-3 years of accounting experience.
  • Financial Knowledge: Understanding of financial processes up to the trial balance level, with the ability to perform balance sheet reconciliations.
  • Technical Skills: Proficient in MS Office; knowledge of SAP is a bonus.
  • Personal Attributes: Must be honest, trustworthy, and willing to work extra hours when needed. A deadline-driven mindset is essential.
